How Excel repeats the same operation

Mondo Workplace Updated on 2024-02-23

In Excel, if you want to repeat the same operation (e.g. formatting, data filling, etc.), there are several ways to achieve it, depending on the specific type of operation you want to repeat. Here are some common methods:

F4: After you have performed an operation (like formatting cells, entering formulas, etc.), you can simply pressf4key to repeat the operation. If you move to another cell or select a group of cells and pressf4, Excel will repeat your last operation.

ctrl+y: This shortcut is used in most applications for "redo" operations, but in Excel, if there is no action to redo, it will look likef4Repeat the same operation as the previous one.

When you enter data or formulas, you can use the fill handle in the bottom right corner of a cell to quickly copy the contents of that cell or formula to adjacent cells. Just select the cell, then move the mouse to the bottom right corner until the cursor changes to a cross, then drag the fill handle to the range you want to fill.

You can add a Repeat button to the Quick Access Toolbar that allows you to repeat your last action. If this button doesn't appear, you can add it by customizing the Quick Access Toolbar.

For formatting, you can also use the Format Painter tool to copy the formatting of one cell to other cells. Select the cells that already have the format you want to copy, click the Format Painter button, and then select the cells you want to apply the format to.

For more complex repetitive operations, you might consider using the macro recording feature. Macros allow you to record a series of steps and replay them at any time. To use macros, make sure the macro feature is enabled in the Developer tab, then click "Record Macro" to do what you do, and when you're done recording, tap "Stop Recording". After that, you can repeat these operations by "Run Macro".

Please note that not all operations can be repeated using the above methods. For example, some specific data inputs and certain types of formatting may require specific methods or macros to implement repetitive operations.
