In daily life and work, Excel has become our indispensable right-hand man. However, the security and reliability of data is always our focus. In order to prevent data loss or corruption, backup and recovery capabilities are particularly important.
1. The location and use of the Excel backup function
The backup function of Excel is not enabled by default, and we need to set it manually. Below, let's take a look at how to turn on and use this feature.
Open Excel and click on the "File" tab in the upper left corner.
In the drop-down menu, select Options.
In the pop-up "Excel Options" window, click the "Save" option on the left side.
In the Save Workbook area on the right, select Save Auto-Recovery Information Interval, and set the appropriate interval. In this way, Excel will automatically save a copy of the current workbook at a set interval in case something unexpected happens.
Click "OK" to save the settings.
2. The location and use of the Excel recovery function
When unexpected situations happen, such as sudden computer shutdown, program crash, etc., we can use Excel's recovery function to retrieve unsaved data.
Reopen Excel and click on the "File" tab in the top left corner.
In the drop-down menu, select "Information".
In the Workbooks area on the right, click Manage Workbooks.
In the pop-up window, select "Recover Unsaved Workbook".
Excel will list the recently unsaved workbooks, select the workbooks you need to recover, and click "Open".
3. Other backup and recovery methods
In addition to Excel's built-in backup and restore function, there are other measures we can take to ensure the security of your data.
Regular manual backups: In addition to automatic backups, we can also manually back up workbooks on a regular basis. Workbooks can be copied to other folders or external storage devices to keep your data safe.
Use a cloud storage service: Save the workbook to a cloud storage service, such as OneDrive, cloud, and more. In this way, we can recover data from the cloud even if there is a problem with the computer.
Use professional data recovery software: If the data is accidentally lost and cannot be recovered by the above methods, we can also try to use professional data recovery software to get back the lost data. However, it is important to note that data recovery is not a panacea, and the success rate will be affected by a variety of factors.
